How to Review Time Cards for Payroll Processing
Payroll processing is a critical function for any organization, and accuracy is paramount to ensure that employees are paid correctly and on time. Reviewing time cards is a crucial step in this process to ensure accuracy before processing payroll.
In this article, we will guide you through the steps to effectively review time cards in isolved.
Step-by-Step Guide to Review Time Cards
Before you can approve the time cards you will have to make sure that all time data is accurate and that there are no missing entries. Fortunately you won't have to review all employee time cards. Instead, missing or inaccurate data will be flagged in isolved and show up on your dashboard.
Accessing the Dashboard
2. Click on EMPLOYEE SELF-SERVICE
3. Click on My Dashboard
My Dashboard provides you with up-to-date information on your employees. You can review pending transactions, monitor alerts, and more.
The Pending Transactions section will alert you if you were included in an approval workflow.
The Pending Time Off Requests option will alert you if there are any time off requests pending your attention.
The Pending Punches option will alert you if you there are any missing punches from your employees requiring your attention.
You can select the “You have Pending Time Off Requests,” “You have Pending Transactions” or “You have Pending Punches” options to be directed to the appropriate screens for approval.
Reviewing Pending Punches
1. Click on Pending Punches
The Pending Punches section will display a list of missing punches within the selected date range that employees have submitted and haven't been approved yet.
Make sure the correct date range is selected so you only see relevant information.
You have the option to approve/reject one by one, or select all at the top to bulk approve/reject.
The following steps are optional if you want to view more details on the employee's time card
2. Click on View
Clicking on View will take you to the employee's time card.
3. Click on the Pending Punch
4. Click on Approve or Reject
Reviewing Alerts
1. Click on Alert Monitoring
Alert Monitoring allows you to run a quick report on employees with outstanding Time Card alerts. You can filter the report based on many options, and filter to show just one specific alert. The color-coding of the dots on the left side of the screen shows the severity level of the alert.
2. Click on View Next to an alert
Clicking on View next to any alert will take you to the time card of that employee where you can see more details about the alert.
Time cards entries with alerts will be colored with the alert severity and display an ⚠️ alert icon.
Review one alert at a time
3. Click on the entry with an alert, then click on the alert icon.
4. Select from the Status dropdown.
5. Click Save
Review multiple alerts at once
6. Click on Alert Detail
Alert Detail displays all alerts enabled for the employee
Here you can review, excuse, and add notes to each alert.
Click Save when done.
Add missing punches
1. Click on the time card.
2. Click on Punch
3. Add the correct date and time.
4. Click Save
Reviewing Time Off Requests
1. Click on Admin Calendar
2. Click on Pending Requests
3. Click on a pending request
4. Select Approve or Reject
Verifying the time cards
Now that you reviewed all alerts and made all necessary corrections you are ready to verify the time cards.
1. Navigate back to My Dashboard
2. Click on Earnings Summary of Hours
3. Select the correct pay group and period
Most times, this will be the prior pay period that you work on closing for payroll processing.
4. Click on Apply
A graph of total hours will display. Underneath you will have the totals for each employee who worked in this period.
5. (Optional) Click on the arrow to display a breakdown of hours and earnings
6. Click the checkbox(es) to approve the time cards
You can approve one by one by clicking on the checkbox next to each employee, or approve all by clicking Select All.
